Manage teachers
School admins can manage teacher access for the whole school. Teachers can also be made admins for a specific school structure node, such as a phase, year group, class, or department.
Admin types
Section titled “Admin types”GreenPen has two main admin levels.

| Node-level admin | One school structure node and its descendants | Heads of year, phase leads, department leads, or class leads who only need admin rights for their area. |
What school-level admins can do
Section titled “What school-level admins can do”School-level admins can manage school-wide setup and access.
They can:
- Add teachers to the school.
- Remove teachers from the school.
- Make another teacher a school-level admin.
- Manage school structure.
- Manage school-wide settings, labels, tags, mark schemes, syllabus setup, and student roster imports.
- See and administer information across the whole school.
They cannot:
- Bypass normal safeguarding, account, or authentication requirements.
- See a different school unless they have also been added there.
- Recover a lost password or magic link for another user inside GreenPen.
What node-level admins can do
Section titled “What node-level admins can do”Node-level admins have admin access for the selected school structure node and the nodes underneath it.
For example, if someone is made an admin for Year 7, they can administer Year 7 and any classes or groups inside Year 7. They do not automatically become an admin for Year 8 or for the whole school.
They can:
- Work with students, assessments, results, and syllabus access connected to their part of the school structure.
- Edit results for students in their own groups where GreenPen allows group-admin editing.
- Keep admin access to syllabus areas assigned to their school structure node.
They cannot:
- Add or remove teachers from the whole school.
- Make someone a school-level admin.
- Manage school-wide settings, labels, tags, mark schemes, or top-level setup.
- Import student rosters for the whole school.
- Administer unrelated school structure nodes.
Which admin level should I choose?
Section titled “Which admin level should I choose?”Use school-level admin access only for people who should manage the whole GreenPen setup for the school.
Use node-level admin access when someone needs control over a specific part of the school, but should not manage school-wide settings or staff access.
Add a teacher
Section titled “Add a teacher”- Open Teachers.
- Enter the teacher’s email address.
- Choose whether to add them to the entire school or to a specific school structure node.
- Choose whether they should be an admin for that school or node.
- Send the invitation or add the teacher.
Existing accounts are assigned to the selected school or node. New email addresses are invited and assigned there.
Only give school-level admin access to users who should manage school-wide settings and staff access.
